1. Orders and authority
An authorized organization representative must approve the organization, eligible population, price, renewal period and billing method. These terms supplement the Terms of service. A signed order controls conflicting commercial terms. The employee benefit is $8 USD per eligible employee per month unless a different signed order is agreed. The actual employee count and total are shown before checkout. This is an employee-benefit software service, not health insurance, a health plan or human bill-negotiation service.
2. Eligibility and enrollment
The organization is responsible for the accuracy and authority of its employee roster, verified domains, invitations and administrator assignments. Domain verification establishes control of a domain; it does not independently establish every recipient’s employment. Available paid capacity and verified employee identity govern access. Administrators must remove ineligible people promptly. Employee accounts remain personal accounts after benefit access ends.
3. Employee privacy
Employers administer eligibility, invitations, capacity and billing. They do not receive employee medical documents, private cases, questions, letters or individual medical activity through the benefit. Do not ask employees to send medical documents to an administrator for enrollment. Aggregate operational or commercial reports must not be described as access to employee medical records.
4. Billing and seat changes
Recurring charges and changes require the disclosed order or an explicit billing confirmation. A seat increase does not grant paid capacity until the payment state is verified. A reduction cannot silently displace existing active sponsorships; eligibility must be reconciled first. Refunds, payment reversals, disputes, nonpayment and cancellation can affect benefit availability. The provider’s confirmed paid period and quantity govern access. Tax treatment is determined by applicable law and the completed checkout or invoice.
5. Administrators and offboarding
Assign administrator and ownership roles only to authorized people using verified accounts. Transfer ownership before the last owner leaves. An organization administrator cannot acquire private employee cases through an ownership change. Closing an organization, removing eligibility and canceling a subscription are separate actions; review each confirmation.
6. Population programs
County-wide resident, student or statewide sponsorship is a separate program requiring an expressly agreed eligibility method, population and contract. Selecting government or education as the organization type does not activate universal population access.
7. Data responsibilities
Read the Business data terms and Privacy notice. Do not upload medical claims, diagnoses or clinical files as roster data. A signed data-processing addendum, business-associate agreement or other procurement contract is required when the actual arrangement requires it; these pages are not a substitute for an executed agreement.
8. Support and changes
Contact ryan@moonshineai.com about billing, eligibility, security or procurement. No guaranteed savings, retention improvement or response-time service level is included unless expressly stated in a signed agreement. We will disclose material changes before they apply where required.
